eduFiles - The secure cloud for education

High security file storage - Hosting in Luxembourg

eduFiles is a high security Cloud file system, developed within the Centre de gestion informatique de l'éducation (CGIE) based on the open source software "Nextcloud" and "ONLYOFFICE" and hosted in a Datacenter in the Grand-Duchy of Luxembourg.

eduFiles is a professional and secure alternative to Microsoft 365 for storing and sharing sensitive files.

Up to 50 GB of storage space

The eduFiles platform provides its users with a secure online storage space to store and share internally documents and downloadable resources from a desktop or mobile device. Each user has a storage space of up to 50GB unless specifically set up locally.

Strong or multi-factor authentication

The eduFiles platform is accessible via two secure authentication modes: access via a Luxtrust product or eduKey multi-factor access. As a result, this service facilitates the secure storage and sharing of personal data between National Education agents. It meets the requirements of the General Data Protection Regulation (GDPR).

Data stored in the European Union

In Microsoft 365 (formerly Office 365), data is stored in data centers based in the European Union, specifically located in Dublin and Amsterdam. The use of Microsoft 365 applications is therefore generally not a data protection issue and complies with the RGPD, as long as users do not store personal data in Microsoft's European Cloud.

Inadmissible to store personal data

Teachers, as public officials, and schools as public institutions are not allowed to store personal data (of children or otherwise) in a cloud hosted even in Europe, possibly allowing potential access by US authorities. These users have a particular responsibility regarding the admissibility and traceability of personal data processing.

A collaborative platform for educational use only

For the past few years, the Ministry of Education, Children and Youth has been promoting the use of the Microsoft 365 platform as a collaborative work environment for educational purposes. Microsoft 365 can be used by teachers and schools, in compliance with data protection, in the European cloud, as long as users do not store personal data.

Which Cloud to choose for storing your electronic documents?

If you want to store and share learning resources with other teachers or with your students, you can easily save them in the Microsoft 365 Onedrive application as long as these documents do not contain personal data.

If you want to store and share sensitive documents containing personal data of e.g. your students (certificates, balance sheets, report cards, grades, etc.), please use the eduFiles platform which has been set up especially for this purpose.

What data to store in eduFiles ?

eduFiles is a highly secure file system that can be accessed through a CGIE IAM account associated with either eduKey or a LuxTrust product. Since (1) the data is hosted in a Datacenter in Luxembourg and (2) access to the platform is via two-factor authentication or strong authentication, eduFiles complies with the GDPR requirements. Thus, you can store all kinds of data in eduFiles, especially personal data such as student data, in compliance with the data protection regulations.

What data to store in Microsoft 365?

The Microsoft 365 platform (formerly Office 365) was designed by CGIE as a collaborative digital environment with an exclusively educational focus. So, for example, its data storage application Onedrive is reserved for storing and sharing educational resources used for homeschooling, for example.

Teachers, as public officials, are not allowed to store personal data of their students or others in Microsoft 365, even if this data is hosted in Europe.

Can I share data stored in eduFiles?

eduFiles is primarily a personal data storage platform.

However, any teacher can share individual files and/or entire folders with one or more other teachers provided that (1) the latter have activated their account (a login to the eduFiles platform is sufficient) and (2) the latter's account has not expired.

Can I share files with my students

eduFiles is a highly secure data storage platform.

Sharing files with students or other external users is not possible.

Can my access to eduFiles expire?

All access to the eduFiles platform will expire after 6 months of inactivity. At that time all files will be deleted irretrievably.

How much storage space do I have?

Every teacher has 50 GB of storage space.

Can I use synchronization clients or mobile apps?

For security reasons, data synchronization using a synchronization client or mobile app is not allowed. A major risk associated with an external synchronization operation is the violation of your data confidentiality. The outsourcing of your data to laptops or mobile devices can create a "security hole", if not properly set up. Indeed, if there is no security, it would be possible for a malicious person to access your data.

What to choose for the storage of your electronic documents?

The eduFiles platform is primarily dedicated to teachers for storing sensitive data that cannot be stored in the Microsoft 365 cloud.

As a member of a national education department or administration, you are expected to store your data in the file system within the RESINE network of the national education. The storage and sharing of files is physically structured in a tree structure consisting of folders and subfolders and visible to the user or a group of users, for example, from the same service or department.

Access to this data is highly secured and reserved for internal use within the RESINE network. Only holders of a secure CGIE laptop can access their files externally.

It is strictly discouraged to use eduFiles as your primary storage space for administrative data.

When to store your sensitive documents in eduFiles?

If you need to share sensitive data with teachers or agents of other administrations or ministerial departments of the MENJE, it is possible to temporarily store this data in eduFiles. It is possible to share individual files and/or entire folders.

This is preferable to sending sensitive files by email, since access to the eduFiles platform is done through strong authentication.

Can I share my data with external parties?

Sharing files with external users is not possible.

If you want to share sensitive files with external users, we recommend you to use the CGIE application "zendto" (http://zendto.cgie.lu).

Can an access to eduFiles expire?

All access to the eduFiles platform will expire after 6 months of inactivity. At that time all files will be deleted irretrievably.

What is the difference between eduFiles and Onedrive authentication?

The access to the Microsoft 365 platform is done through a simple authentication by login and password which presents a very low level of security in contrast to a strong authentication such as LuxTrust or an authentication by multiple factors such as eduKey.

It is now proven that the traditional "login" and associated "password" pair is no longer considered sufficient to adequately secure access to sensitive data.

In order to strengthen security, access to the eduFiles cloud must be done through a strong authentication with LuxTrust or eduKey.
